How Custom Pouch Pricing Is Built — and How to Compare Quotes

Two quotes for 'the same pouch' are rarely comparable. This guide breaks a fabric pouch quote into the parts it is actually made of, so you can see where a cheaper number is genuinely cheaper and where it has simply left something out.

Why the site does not publish a price list

A published unit price for a custom pouch is either a headline for the simplest possible version, or an average that will not match what you ordered. Fabric weight, size, closure, decoration and packing each move the number materially, and they interact — a bigger pouch in a heavier fabric with a four-colour print is not the base price plus three small increments.

That is why quoting is specification-based here. It is also why the most useful thing you can do before comparing suppliers is fix your own specification, so everyone is pricing the same object.

The parts of a fabric pouch quote

Fabric. Consumption per unit multiplied by fabric cost. Driven by finished size, seam allowance, and how efficiently your pattern nests on the roll — which is why an awkward size can cost more than a slightly larger standard one.

Construction labour. Number of sewing operations. Every extra seam, gusset, lining, pocket or reinforcement is another operation.

Hardware and trims. Cords, zips, pulls, snaps, ribbons, woven labels. Usually small individually and significant in aggregate.

Decoration. Split into one-time setup (screens, dies, plates, digitising for embroidery) and per-unit running cost. This split is the single most common reason two quotes diverge at low volume.

Sampling. Pre-production samples and any revision rounds.

Packing. Individual polybag, tissue, hang tag application, inner and master cartons — each is handling time.

Freight and terms. FOB, EXW, express or sea freight are not comparable numbers. A quote is only meaningful alongside its Incoterm.

Making quotes comparable

Send every supplier one brief, and ask for the quote broken out rather than as a single unit price. Specifically ask for: setup cost stated separately from unit price, sampling cost stated separately, the Incoterm, the packing assumption, and the quantity breaks.

Then check the four things that most often differ underneath a headline price: the fabric weight, whether the price includes decoration setup, what packing is assumed, and whether sampling is charged. A quote that is 15% cheaper but excludes setup, assumes bulk-carton packing and quotes EXW rather than FOB is usually not cheaper.

Where cost genuinely comes out

Real savings tend to come from the specification, not from negotiation: choosing a fabric already in production, reducing colour count, picking a decoration method matched to your run size, avoiding an awkward size that wastes fabric, and consolidating colours and sizes into fewer runs.

Savings that come from an unchanged specification at a lower price usually reappear later as a substituted fabric, a thinner cord, or a packing method you did not agree to. Confirm the approved sample is the reference for what ships.

How much does a custom fabric pouch cost?

There is no meaningful single figure, because fabric, size, construction, decoration, packing and Incoterm each move it materially and interact with each other. Send the specification and quantity and the quote can be built against it. Comparing suppliers is only valid once they are all pricing the same specification.

Why is one supplier so much cheaper?

Check what is underneath the number before treating it as cheaper: fabric weight, whether decoration setup is included or billed separately, what packing is assumed, whether sampling is charged, and which Incoterm applies. Those five items explain most of the gap between quotes that look like they are for the same pouch.

Is setup cost charged separately?

Ask for it to be stated separately. Screens, dies and embroidery digitising are one-time costs, and seeing them broken out tells you what a reorder would cost and lets you compare suppliers who amortise differently.
